Report 1: Monthly financial statement

Every month, the landlord should receive a clear financial statement showing: the gross rent received from the tenant, the management fee deducted (shown as a pound amount, not just a percentage), any maintenance costs paid from rent (each one itemised with the contractor name and work description), any other deductions with their specific justification, and the net amount transferred to the landlord’s bank account.

The statement shoud reconcile to zero, the gross rent minus all deductions should equal the net transfer. If it does not, ask for a specific explanation. Many landlords accept statements that do not reconcile because they trust the agent, but unreconciled statements are where unexplained charges most commonly hide.

Report 2: Periodic property inspection report

At every scheduled property inspection, the agent should produce a written report covering: the condition of every room, any maintenance issues identified during the inspection, tenant compliance with the tenancy agreement (no unauthorised occupants, property kept in reasonable condition, no prohibited modifications), and photographic evidence for every significant observation.

Report 3: Maintenance log

The agent should maintain and provide access to a complete maintenance log for the property, a record of every maintenance request raised, the contractor assigned, the work completed and the cost. This log should be accessible in real time through an online portal, not just available on request.

A well-maintained maintenance log also provides evidence of the landlord’s compliance with their repair obligations, if a tenant later claims that maintenance was not addressed, the log is the proof that it was (or, if it was not, the honest record of what happened and why).

The agent should track and provide copies of all mandatory compliance certificates: Gas Safety Certificate (annual), Electrical Installation Condition Report (every 5 years), Energy Performance Certificate (valid for 10 years), Legionella risk assessment where applicable, and any HMO-specific certificates for licensed properties.

The agent should notify the landlord before each certificate expires and arrange the renewal, not wait for the landlord to ask. A compliance certificate schedule showing the current validity dates and next renewal dates for every certificate should be available to the landlord at all times.
